Who holds the information

pw‑services is the data controller for the purposes of UK GDPR and the Data Protection Act 2018.

The site check

When you run a check, the following is recorded:

• The address or postcode you entered
• The coordinates and local authority it resolved to
• The results of each check that ran
• Your IP address and browser user agent
• The date and time

Why. To return the results to you, to keep a record of what was reported on a given date, and to identify and prevent misuse of the tool.

Lawful basis. Legitimate interests — operating a free tool, keeping it working, and being able to show what it reported if that is ever questioned.

How long. Twelve months, unless the check is attached to a job, in which case it is kept with the job record.

A postcode is not on its own information about a person, but combined with an IP address it can be. It is treated as personal data accordingly.

Enquiries and jobs

If you make an enquiry or engage the service, the following is held:

• Your name, email address and telephone number
• The address of the work
• What you told me about the site and the job
• Any photographs you send
• The site check results for the address
• What you told me in the safety questions
• The risk assessment and method statement issued
• Dates attended, work carried out, and what was charged

Why. To quote for the work, to carry it out safely, to meet health and safety obligations, to invoice, and to keep the records that self assessment requires.

Lawful basis. Performance of a contract, or steps taken at your request before entering one. Legal obligation for the tax and health and safety records. Legitimate interests for keeping the risk assessment afterwards.

How long. Six years from the end of the job.

Six years is longer than it may sound necessary, and there is a reason for it. A risk assessment is only useful as evidence if it still exists when a question is asked, and a personal injury claim can be brought three years after an injury — longer in some circumstances. Six years also matches the period for contract claims and the retention required for tax records.

Enquiries that do not become jobs are deleted after twelve months.

Who else sees it

Nobody, other than in the following circumstances:

• My insurer, if a claim arises
• HMRC, in respect of tax records
• A regulator or court, where required by law

Your information is not sold, shared for marketing, or passed to anyone else.

When a site check runs, the coordinates it resolved to are sent to the public data services it queries — postcodes.io, the Environment Agency, Natural England, planning.data.gov.uk and Open-Meteo. No name, email address or other identifying detail is sent with them.

Where it is held

On a server in the United Kingdom, under my own control. Nothing is stored outside the UK and no third-party analytics, advertising or tracking is used on this site.

This site sets no cookies.

What you can ask for

You have the right to:

• Ask what is held about you, and receive a copy
• Have anything inaccurate corrected
• Have information deleted, where there is no longer a reason to keep it
• Object to processing carried out under legitimate interests
• Ask for processing to be restricted while a dispute is resolved

Ask by email or telephone. There is no charge and I will respond within one month.

Deletion is not always possible: records that back a risk assessment, or that tax law requires be kept, will be retained for the periods above even if you ask for them to be removed. If that applies I will say so and explain why.
